  • Proof of accommodation (hotel booking or invitation letter from a Polish host)
  • Biometric passport photo, 35x45mm, plain background, taken within the last 6 months
  • Biometrics captured in person at the visa application centre (unless already on file within the last 59 months)

Visa types

  • Schengen Tourist/Visit visa (Type C) — single or multiple entry, valid for stays up to 90 days in any 180-day period, fee about EUR 90
  • Business visa — for meetings, conferences, and trade fairs, requiring an invitation letter
  • Family visit visa — requires an invitation and proof of relationship with the host in Poland
  • National long-stay visas (Type D) for study or work exceed 90 days and are processed separately and directly by Polish consular services

How to apply

  • Book an appointment through VFS Global's Poland visa application centre or the Polish embassy/consulate covering Zambia
  • Complete the online Schengen application form and print the confirmation
  • Attend in person to submit documents and give biometrics
  • Pay the visa fee in local currency equivalent
  • Track the application status online with the reference number
  • Collect the passport with the decision, or arrange courier return

Fees & processing time

  • Schengen visa fee: EUR 90 (about USD 97) for adults; reduced fee EUR 45 for children aged 6–11
  • VFS Global service fee: an additional USD 25–35 typically applies
  • Standard processing time: 15 calendar days from a complete application
  • Can extend to 30–45 days if extra scrutiny or consultation with other Schengen states is needed

Tips for Zambia travelers

  • Apply at least 3–4 weeks ahead of travel, and no more than 6 months in advance
  • Common rejection reasons: weak proof of funds history, unclear travel purpose, or insufficient return-ties documentation
  • Include a cover letter outlining your itinerary and purpose of travel
  • Apply at the embassy/VFS of the Schengen country where you will spend the most nights
  • Extensions inside Poland are granted only in exceptional circumstances — plan your travel dates conservatively
