What you need

  • Passport valid for at least 3 months beyond your planned departure from the Schengen area, with at least 2 blank pages
  • Completed Schengen visa application form (signed)
  • 2 recent biometric passport photos (35x45mm, white background)
  • Travel medical insurance covering at least €30,000 for the whole Schengen area, valid for the trip dates
  • Proof of accommodation (hotel booking or invitation letter from a host)
  • Round-trip flight reservation
  • Proof of sufficient funds, typically bank statements showing roughly €50-70 per day of stay
  • Proof of employment or business registration, plus a letter from your employer if employed
  • Biometrics (fingerprints and photo) collected in person at the VFS Global visa application centre, mandatory for first-time applicants

Visa types

  • Schengen Type C Tourist visa: single or multiple entry, valid for up to 90 days within 180 days
  • Schengen Type C Business visa: requires an invitation letter from a Polish company
  • Schengen Type C Visit visa: for visiting family or friends, usually needs an invitation/host declaration

How to apply

  • Book an appointment online with VFS Global Poland (centres in Johannesburg and Pretoria)
  • Submit your completed application, supporting documents, and biometrics at the centre
  • An interview is occasionally requested but not standard
  • Pay the visa fee and the VFS service fee at the appointment
  • Standard processing takes 15 calendar days, though it can extend to 30-45 days in complex cases
  • Collect your passport from the centre, or opt for courier return if offered

Fees & processing time

  • Schengen visa fee: €90 for adults, €40 for children aged 6-12, free under 6
  • VFS service fee: approximately R350-500 in addition to the visa fee
  • Standard processing time: 15 calendar days from a complete application
  • No official express or priority lane for Schengen visas

Tips for South Africa travelers

  • Apply no earlier than 6 months and no later than 15 working days before travel
  • Common rejection reasons include insufficient proof of funds, an unclear travel purpose, or weak evidence of ties to South Africa
  • Book your VFS appointment early — slots in Johannesburg fill up quickly in peak travel seasons
  • A Polish Schengen visa permits travel throughout the rest of the Schengen area during its validity
  • Extensions inside Poland are only granted for exceptional circumstances such as illness, via the local Voivodeship Office
